Host a Tournament

One of the purposes of WSCF is to sponsor chess tournaments that have some uniformity. If you would like to host a WSCF tournament please read about our tournaments below. A deposit of $75 is asked to schedule a tournament. To receive a tournament agreement please call the WSCF president or Executive Director.

All WSCF tournaments hosted by local schools have the following in common:

Medals and Trophies

A WSCF tournament will award the following Trophies and Medals:

Host sites have the option of awarding more medals and trophies. All awards will have the logo “WSCF” somewhere on the medals and trophies.

Chess Boards and Clocks

WSCF will initially provide a minimum of 50 chess boards and sets for each tournament. It is to be understood that schools with active chess clubs that possess numerous tournament boards will bring those boards to the tournament for use on the tournament floor. Such schools are asked to bring 10 or more boards. They are encouraged to label their boards on the back. Pieces need not be labeled as they are interchangeable This division of labor and equipment will help insure that this burden will not fall upon one individual or school. Chess clocks will be handled in the same way except that WSCF will not provide any clocks initially. Chess sets and boards will not be removed from the tournament hall until the last match is complete. It is recognized that this activity could be distracting to the participants and respect for their need for quiet needs to be observed.

Tournament Observers

It is up to the host site to determine the access of observers to the tournament floor. It is recognized that observers will not be allowed directly on the tournament floor. The host site can determine the boundaries for observing or grant or deny access to the tournament hall.

Volunteers

The following volunteers and their job descriptions are recommended for each tournament.

Tournament Host: This person is the liaison between the school and WSCF. It is the host responsibility to arrange for all the physical needs of the tournament via delegation as needed. The host is responsible for obtaining the required signature and funds needed to secure the tournament and mailing to WSCF The tournament host may perform many of the job descriptions listed below but is advised to delegate as much as possible.

Medal and Trophy Coordinator: This person orders the trophies after the number and medals have been agreed upon. He/she is responsible for receiving the trophies at least 2 weeks before the tournament and verifying that the correct number of trophies and medals are in place. It is his/her job to create a display of the medals and trophies at the tournament site and to help pass out the awards during the award ceremony.

Tournament Registrar(s): Three registrars are usually needed. One for each division to work from 7:30am to 8:45 am. As registrars they are confirm previous email entries, collect entry fees and to register late entries. One registrar is needed from 8:45 to 9:30 to register late entrants who will entered into the tournament during round 2.

Floor TDs: It is the responsibility of the host school to provide at least 3 floor tournament directors. It is the floor TDs job to help students find their boards, resolve disputes and to verify checkmates and draws. Knowledge of chess helpful.

Scorekeeper: One person is needed through out the tournament to record match results. Students will report to the scorekeeper in pairs and declare together the outcome of their match.

Food Concession Coordinator: This person will make all the arrangements or delegate the arrangements for the food concessions. This includes purchasing the food, arranging for equipment, setting up the site and scheduling volunteers through out the day. The person also works with the tournament host to determine pricing and menu items.

Tournament Director Assistant: This person works with the tournament director to post the pairing and results through out the tournament. This person also helps with the awards list after the last round and before the awards are given.

The Wisconsin Scholastic Chess Federation (WSCF), formerly Milwaukee Area Scholastic Chess Association (MASCA), is a 501(c)(3) non profit association dedicated to promoting chess for our youth in greater Milwaukee and Wisconsin. WSCF coordinates scholastic chess tournaments at area schools, operates a chess school with qualified instructors who follow the WSCF curriculum, offers services through the WSCF chess club coach program, conducts chess club management seminars for parents and teachers, and provides chess club start-up grants.
